QuickBooks or uploads: which to use

Both produce the same packet. Connecting saves the monthly exports.

If your books are in QuickBooks Online, connecting is the better choice. CanopyDecks reads the reports it needs directly, so a new month is a matter of choosing the month. That includes a budget kept in QuickBooks. You can also upload your own budget spreadsheet, or build one in Budget/Forecast.

If your books are anywhere else, two exports are enough: a trial balance and a chart of accounts. The statements are constructed from them rather than read out of a formatted report, which is why this works with systems we have never seen. A trial balance is a row per account with its debit and credit; a chart of accounts says which of those are assets, liabilities, revenue and expenses. Export the trial balance with a column per month and the packet gets its trends and last year's comparison from the same file.

Formatted statements work too, if that is what you already export: a statement of activity and a statement of financial position, in place of the trial balance. Either way, optional reports add sections: transaction detail, receivables and payables aging, cash flows, last year's statement of activity and a budget. The Data step lists every one it reads and marks what it needs.
